Candidate Experience Checklist

Use this checklist to make sure every candidate leaves your hiring process with a positive impression of your company — whether you hire them or not.

The test: If you were the candidate, would you feel your time was respected, you knew where you stood, and you were treated like a person rather than a pipeline entry?

Move quickly. Remove unnecessary friction. Respect the candidate's time.

Treat candidates how you would want to be treated.

Never ghost a candidate. Someone who gives you several hours of their time deserves an answer.

The candidate should feel: "They're trying to understand whether this is right for both of us." Not: "I'm applicant #47."

5. Feedback & Communication

Never leave candidates wondering what is happening.

After every stage

If rejecting someone

The further someone progresses through your process, the more personal the rejection should become. A candidate rejected after Application → email may be appropriate. Founder call → Interview → Technical → Final → probably deserves a personal message or call.

6. Make the Interview Valuable

A good candidate experience isn't just about removing negative experiences. Candidates should gain something from meeting you.

Particularly for founder-led hiring, meeting the founder should itself be valuable.

Final Candidate Experience Test

Before closing a candidate's process, ask:

Efficient — Did we respect their time and move quickly?
Clear — Did they always understand the process and where they stood?
Respectful — Did we treat them as we'd want to be treated?
Personalised — Did the experience reflect who this individual actually is and what they care about?
Communicative — Did we keep our promises and close the loop?
Valuable — Did the candidate get something useful from interacting with us, regardless of the outcome?
